Create and Manage Enquiries
Select the manage enquiries button.
Note: Your question sets will already be created within the Prequalification phase, so those question sets will already populate in the Enquiries grid. If you would like to add additional question sets, you can do so by going through the same steps mentioned in prequalification question creation.
To create a new enquiry, select add
Use the toggle switch to advise if this is a work request enquiry. (Refer to “Work Requests” further down in this user guide for more information)
If this enquiry requires a prequalification to be submitted before an enquiry can be submitted by the Contractor, use the toggle switch to select “yes” or “no”
Fill in the details required in each field.
When you reach the “Adjudicators” button, to view the adjudicators linked to the enquiry already, select the view button.
An additional pop-up screen will appear for you to read the information.
Note: You can add additional adjudicators to the enquiry should it be necessary.
Fill in the rest of the information.
If you need to fill in an online digital form for completion, use the dropdown selection available to apply the required document.
Once you have selected your document, select the answer button.

Using the dropdown selection available, select from which BU you require the hazard documents to be populated.
Once you have completed the required fields, select save.
Your list of enquiries will display in the grid such as the below example.
New: On the Enquiries grid, there is a button named "Enquiries Complete Report" that is highlighted above.
This report holds all the data captured for an enquiry.
Click the button for the report to load in PDF format, the report can also be printed as shown below.
Once your enquiries are created per project, you will now be required to send your enquiry invitations to the “shortlisted” Contractors.
Click on the enquiry invitation that you would like to send, and then select mange.
Select the send button.
Fill in the Contractors email address and “save”
Note: The Status will change according to the actions performed in the process of the Enquiry.
Note: If the Corporate Client has requested that a prequalification be completed before the enquiry invitation is completed, the Service Provider will receive the below notification advising them to complete the prequalification questions.
Once the Contractor has submitted their Enquiry the Adjudicators will receive a notification advising them that a Service Provider has submitted their Enquiry.
The status will appear as “Answering Complete.”
If the enquiry needs more than one adjudication, the status will show under “Adjudication Progress”. You will also be able to view the last date of enquiry submission and the last adjudication date.
Click on the Contractor that you would like to adjudicate and then select Adjudicate.
Check the details of the Employees and the Equipment items and select save and continue.
Read through all the details and finally when you reach prequalification questions.
You will need to add your scoring as well as your comments where applicable.
Once you have completed your adjudication, select submit.
Add your final comments and if you would like to lock the invitation, tick it and “Submit”
The status will now have updated, and you will be able to see that the enquiry is now locked.
To Unlock all pre-qualifications, select the Unlock all button.
To use a pre-qualification or an enquiry link in other systems, select the link button.
The system will generate a link that you can copy into the respective system.
To resend an invitation click on the Contractor and select resend.
To look at the Contractors star rating, select rating, and the below will appear.
To view the prequalification in PDF format, select view pdf.
A grid is added to the document that displays all non-conformances that have been added to the project and if any notes have been added against an employee profile, this will be noted and added under the “notes count” display.
To pull an excel spreadsheet of all the pre-qualification invitations, you can do so by selecting the “Excel Export” button.
The repost will include the email address, company name (if supplied), status of the pre-qualification, adjudication progress, date of submission and adjudication and the companies star rating.
Both the Corporate Client and the Service Provider can print star rating certificates. If you need to print a certificate, click on the applicable pre-qualification application, and select the print certificate button.
A pdf version of the certificate will pop-up for you to print or download as needed.
