Corporate Clients can manage Organization specific information and e-Learning Courses that need to be made available to Service Providers completing Pre-Qualification or Enquiries
Note: This is done on the Holding Division of a Company. It is also important to note that if you want to link a course to a pre-qualification, the necessary toggle needs to be turned on for that specified program. (Refer to the Learning Management user guide for more information).
Select the mange button.
Select your question groups, select your adjudicators, and lastly your users that need to receive a notification once the adjudication is submitted.
Note: If a question group has adjudicators assigned to them, the adjudicators will automatically pull through as a default. This includes the question groups for selection. In each of these fields you can have multiple selections should you need to add information.
If you want to add a course or documents to be completed in the pre-qualification phase of the tender, select the add button that displays next to the Linked Courses grid and the Supporting Documentation grid.
Note: When adding a course, an additional screen will display whereby you will be able to select the applicable course to link to the prequalification. When adding a supporting document, you will be required to upload the supporting document from your smart device. You can upload multiple documents, however only a PDF format will be accepted.
Once your Prequalification is created, select save.
Now you need to send the invitation to potential Contractors by selecting send.
Add the Contractors email address in the available field and select “save”.
When the invitation is received by the selected individual, the person will need to select the link in the email invitation and the invitation will display as below.
Once the link is selected, the invitation options will display.
Note: If the Company is not registered with Passport, the company will be required to sign up before they can complete the pre-qualification.
All your invitations will appear in a list such as the below example.
Note: All pre-qualification invitations can be viewed under all company divisions. The Status will change according to the actions performed in the process of the prequalification.
If you would like to print a pdf document displaying all the questions linked to your pre-qualifications and enquiry’s, select the “Questions PDF” button.
A pdf document will appear for you to download or print as needed.
Note: Passport will check on the system that looks for pre-qualification invitations that have not been actioned / linked to a company in 30 days and if they have a token linked to them the token is unassigned. This check runs daily, and it will be displayed in a column to say that the token has been revoked.
If a token is revoked from a Service Provider, the Service Provider will still be able to answer the invitation, however they will be prompted to sign up for Passport 360 themselves.
The client can archive the prequalification invitations if the Service Provider is not supposed to answer them. Simply click on the applicable invitation and select delete. The deleted invitation will move to the archived grid.
