Customizable work permit types and question sets can be created by Corporate Clients. This assists with time-controlled documents for people management and allows for the electronic issuing of work permits.
To manage your Work Permits, navigate to the Work Permit module available on your dashboard.
The Corporate Clients need to create the requirements that need to be met to generate a Work Permit for your Service Providers, so the function to create and issue work permits will only be available to Corporate Client users.
Note: When a work permit is created, the system will prompt the user to fill in fields. These fields will include the project, service provider, responsible person, start and end date of the work permit, location where the work is to be carried out and the description of work.
Generic Question Set
Note: This field will only be available to Corporate Client users that have preexisting work permits and this section will cater for their “Legacy data”
Select Generic Question Set.
Using the dropdown selection available, select “yes” or “No” if these are system generated questions.
- If you select “Yes”
Note: This will pull questions for selection that have been system generated. The system will automatically answer the selected questions by pulling in data from Project Compliance and the selected project that the Service Provider is linked to. The answers will generate according to the submitted data that the Service Provider has submitted against the specified project.
Select which section this question should appear in on the Work Permit
Select if this is for a Hot work Permit
From the dropdown selection available, select which question you would like to apply.
- Is there an approved file on Passport 360?
- Are all items on the index green?
- What is the expiry date of the letter of Good Standing?
- Are the individuals above all showing on Passport 360?
- Have you confirmed a valid induction is on the system for each team member?
When you are complete, select add.
- If you select “No”
The system administrators will need to manually answer the work permit questions according to the information as viewable in the Service Providers project file.
Select which section this question should appear in.
Select if this is for a Hot work Permit.
Lastly, add in your question using free text.
Once you have completed the fields, select add.
Note: All questions created will be displayed in the view questions grid. These questions cannot be edited. If a question is incorrect or is no longer valid, they may be removed and recreated, as necessary.
