Note: For the Equipment Onboarding process to be executed correctly, it’s important for the Corporate Client to ensure that the Equipment Inspector user group and the Occupational Hygiene user group is set up with the responsible users.
Once your user groups are set up the next step is to navigate to Equipment Manager on your dashboard.
To mandate a specific equipment category to require an inspection to be done on the equipment items, click on the manage categories tab and select an equipment category i.e. Charter Planes.
Click on the inspection required button.
Use the toggle switch to select yes.
When you are complete select save.
Note: When an inspection is requested by the Service Provider, the request will send a notification to the equipment inspector user group. They will receive and bell notification and an email notification. It is important to note that the inspection will also be assigned as a task in their action manager module.
The same actions need to be taken when OH Monitoring is required. (Occupational Hygiene Monitoring).
Click on the OH Monitoring required button.
Note: When an inspection is reviewed by the Equipment Inspection user group, a notification will be sent to the Occupational Hygienist user group advising them that equipment items require OH monitoring. They will receive and bell notification and an email notification. It is important to note that the action will also be assigned as a task in their action manager module.
2) Service Provider to create an equipment item
Create a new piece of equipment. Fill in the required fields as displayed.
In the next drop-down selection, it is important to link your equipment item to a project.
Select the applicable category for the equipment item and add the daily cost to run the equipment.
When you are complete, select the add equipment button.
When the Service Provider has completed adding the equipment item, the next step is to book their Equipment for inspection.
3) Service Provider to book machinery for inspection
Navigate to your Onboarding widget on your dashboard and select “Book Equipment” for inspection.
Using the dropdown selections available, select the applicable Project, Equipment item/s and the applicable Engineer.
Upload any mandatory documentation that is required.
When you are complete, select the book button.
You will receive a pop-up message advising you that the equipment has been booked for inspection. A notification will be sent to the Equipment Inspector user group to review.
4) Equipment Inspector user group to review equipment
Note: Once a piece of equipment has been booked for inspection, the equipment inspector user group will receive a bell notification, an email notification and it will be assigned as a task in action manager.
Select the log in button on the notification or you can navigate straight to equipment manager.
All inspections pending review will be displayed in the Pending Inspections field.
Select the view button to view the equipment details and profile.
When you are ready to schedule a date for inspection, select the schedule button.
Another pop-up window will appear for you to select a date and time that you want the inspection to happen. You will be required to apply the correct checklist that will be used during the inspection.
When you are complete, select the save button.
You will receive a pop-up message to say that the inspection is scheduled.
Note: The same action for the equipment pending review will be displayed in your action manager module and it will be displayed in your message’s module. Once you have completed the action of reviewing the equipment item, the status of the action will change from “to be initiated” to a “completed” state.

Once you have completed the equipment review, a bell notification and an email notification will be sent to the service provider advising them that their equipment has been scheduled for inspection.
The scheduled inspection will display in the scheduled inspections field.
If you want to reject the equipment item, simply click on the reject button.
5) Equipment Inspector user group to review equipment
On the day of the inspection the responsible equipment inspector must navigate to the “review inspections” field.
Click on the checklist button and work through the inspection checklist.
Answer the checklist questions.
When you are complete, select the save button.
Fill in your final comments and approve or reject the equipment item.
Note: If you approve the equipment item, a notification will be sent to the Occupational Hygienist user group to complete their monitoring document.
