Corporate Clients can use Survey Manager to create questions that can accurately measure the opinions and experiences of your Service Providers that have worked on a specific site or project.
Navigate to Survey Manger on your dashboard.
There are two types of surveys that are managed in Passport 360:
These are surveys that are answered by a specific individual who is logged into the Passport 360 application. These surveys are used to answer questions based on day-to-day business, onboarding, offboarding and tenders.
These are surveys that can be answered by any individual. The individual will scan a barcode to access the questionnaire and answer the questions respectively.
1) Corporate Client to create a Survey
Navigate to Checklist Manager on your dashboard.
Fill in the name of your checklist using the free text field available.
The date created and Created By fields will auto populate with the current date and user creating the checklist. Once the name has been entered, select update.
The checklist will populate in the list display for you to manage.
The next step is to add questions to the checklist for your Service Provider to answer. Select the manage button that displays next to the checklist.
Use the dropdown selection available to select the Surveys option.
Note: You can add multiple areas of selection, however you must select “Surveys” to use when creating a “General Survey”.
You have the option to select if the display order on answering needs to be processed and you can select if you require the checklist to be reviewed once it’s been submitted, however these two options are not mandatory.
If you do select that you would like the survey to be reviewed, you will be required to add an individual to review the document or you can select an entire user group to have the function to review the survey.
When you are complete, select the save button.
The next step is to create your question groups.
Using the free text box, fill in the name of your question group / set.
Note: You can change the display order of the question group should it be edited at a later stage otherwise the system will follow a numerical order by default.
When you are complete, select save.
Your question groups will display in a list format to view and manage.
To add questions to the question group, select the manage button that displays next to the group.
You will now be required to add the details of the question. Using the free text field available, enter the question that you need to add.
When selecting the response type, note what each type will require the Service Provider to submit. (Refer to the Checklist Manager user guide for more information).
Select “Yes or No” if the question is mandatory.
The display will follow numerical order by default; however, this can be changed as you require.
Once you have added your question, select save.
Your questions will appear in list format to view.
Note: Once a survey has been submitted by an individual that is intended to answer questions based on day-to-day business, onboarding, offboarding or Tenders, the Corporate Client will be able to access the submitted surveys in the general surveys function.
2) View a submitted Survey
Navigate to Survey Manager on your dashboard.
Select the view button on General Surveys.
The submitted surveys will display in a list format for you to view.
Select the view button that displays next to the survey.
The submitted survey will appear in a pdf document for you to download and print if it is required.
3) Corporate Client to create a Feedback Survey
Select the view button on the Feedback Surveys function.
Select the add button.
Fill in the name of your survey and select a business unit that the survey is to be applied to.
Using the dropdown selection available, select the checklist that needs to be applied to this survey and when you are complete, select save.
The created Surveys will appear in a list format.
To share the survey with a user or an individual select the share button.
Another pop-up box will display the QR code.
Select the copy to clipboard button.
This link can be shared via email to a specific individual. They will need to click on the link so that the survey can be answered.
Alternatively, the individual will be able to scan the QR code and submit the survey via their mobile device.
The Feedback Surveys can be viewed the same way a general survey is viewed.
